What Is Digital Lean and Why It Matters for Continuous Improvement
When people discuss Digital Lean and how it could or should be integrated into their Continuous Improvement initiatives, there are often examples given of where a digital solution was implemented simply to show “we are going digital,” but it hasn’t delivered real value – for example, the large screen that is turned off or isn’t being used.
Equally, we have seen CI projects implemented that are totally manual and have not tapped into the potential of using digital tools to automate routine tasks, effectively missing real opportunities for improvement.

The default position of Lean First, then Digitise is probably good advice. That said, it is often a bit simplistic. A more effective approach requires more than just converting paper-based processes into digital form.
Digitising something – converting it to digital form – rarely delivers significant improvements on its own. On the other hand, digitalising is where the real value lies: delivering improvement through the correct application of technology, underpinned by Lean principles.
So how and when should digital tools be considered in terms of your Continuous Improvement initiatives and your wider transformation programme?
Identifying Opportunities for Process Improvement with Digital Tools
Typically, you should apply your lean methods such as Kaizen, Process Mapping or VSM to identify waste. Your “current state” VSM should help identify time-consuming and human error-prone steps that contribute greatly to inefficiencies or poor data quality. These are often ideal candidates for technology-enabled process improvement, where digital tools can be leveraged immediately to reduce waste.
The “current state” normally highlights points in the process where digital tools can be used straight away – for example, data that is currently manually collected and transcribed to feed into a downstream step may already be available in one of your core systems.
Building a Roadmap for Lean Digital Transformation
It is critical that the “future state” roadmap is designed to align with your Continuous Improvement goals. It should include completing an Effort-Benefit matrix and clearly define which technologies should be implemented to achieve those goals – rather than launching a random technology pilot in isolation.
A structured digital lean approach ensures that technology investments directly support performance improvement.
The roadmap should be developed with a cross-functional team including CI, Operations, Quality and Digital, ensuring that your lean digital transformation is aligned across the organisation.
What About the People? Balancing Accountability and Automation
We often hear that in certain scenarios, the manual task of writing numbers on a board really helps in terms of ownership and responsibility. But have things progressed from that?
I have seen cases where a figure is taken from a system, written down, added to an hourly spreadsheet tracker and then written on a whiteboard before the morning meeting. With four or five generations now working together, is the perceived “accountability” benefit really greater than the frustration of performing manual tasks that could easily be eliminated through digital lean process improvement?
